How We Protect Your Data

Memorandum of Understanding.

This Memorandum of Understanding represents an agreement between YWAM Converge, the Program Leadership Partner, and the Participant.  Application or Registration as a Program Leadership Partner (Converge Host, Outreach Team Leader, Course Leader) or Participant, is the official affirmation of Converge Terms & Conditions and Memorandum of Understanding. Read this document carefully and refer to it as necessary.

Program Leadership Partner agrees to...

Program Leaders may be YWAM or Friends of YWAM who lead Converge Programs, including Fellowships, Internships, Courses, and/or Outreaches

Design & Administer the Course, Outreach, or Internship:

  • Create Converge Participant's program accurately representing Converge Participant's Organization and the program for the Participants, including their responsibilities, the context, accommodations, safety, and other details. Those details will be publicly displayed and posted on the YWAM Converge website and, if applicable, on the Converge APP.

  • Pay the Converge APP Launch Fee based on our international fee scale to get Converge Participant's program published and, if an outreach, use Converge APP tools.

  • Regularly review Participant applications within 5 business days and communicate expectations promptly. The Converge APP will simplify this process for outreach leaders with automated emails and instant messaging.

Be a Good Host:

  • Welcome Participants and show hospitality to all guests.

  • Create an environment of safety, learning, honor, respect, and joy.

  • If you are hosting an outreach, fellowship, or internship, provide or coordinate transportation to and from the port of entry at the beginning and end of the outreach.

  • Facilitate the Participant’s orientation and expectations. Communicate responsibilities and the schedule, and introduce participants to Converge Participant's team.

  • If you are hosting Participants at an outreach/fellowship or internship location, provide safe and clean accommodation, food, and instructions for local transportation during the Participant’s outreach or stay with the Program Leadership Partner’s organization. As indicated, food and accommodation may be in a shared apartment with a homestay, dorm, cafeteria, or colleagues.

Provide Oversight:

  • If you are an outreach team leader, commit to a weekly one-on-one meeting with Participants to provide ongoing meaningful feedback, including affirmation and constructive criticism. If the team has more than seven Participants, add additional staff members to Converge Participant's team to ensure personal oversight of each Participant.

  • For Converge Fellows & Interns, review, discuss, and approve the Final Project proposal.

  • Course, outreach, fellowship, or internship Participants should have a debriefing interview and/or team gathering. This time is for evaluating the Participant and the Program you are leading.

  • Advise Participants regarding emergency procedures. Require Participants to purchase Travelers’ Insurance (including Emergency Evacuation, Illness & Accident Medical Expense, and Security Evacuation). Hold a copy of the Participant’s Travel Protection policy.

  • Seek immediate medical care for the Participant if there is an accident or illness. This may include transporting the Participant to and advocating for the Participant at a local or regional medical facility and/or contacting an emergency medical evacuation company.  IMPORTANT: The YWAM Converge Office AND the Participant’s Emergency Contact should be contacted in any case requiring hospitalization or evacuation once medical help has been sought for the Participant.

The Participant agrees to...

Register as Applicant:

  • When the application is complete, including references and registration fee payment, Participants are enrolled in one of the Converge online courses. If the Participant joins an outreach team, the application must also be completed on the Converge App. Once the Program Leadership Partner approves, the Participant may log in to create a personal profile page, which includes a public-facing donation page.

  • The Participant agrees to pay all applicable Participation Fees for the Outreach, Course, Fellowship, or Internship.

Prepare to Go:

  • Review all post-application requirements and deadlines.

  • Complete any pre-departure orientation requirements of Converge Participant's outreach fellowship or internship, if applicable.

  • Converge Fellowship or Internship and some other YWAM Outreaches require you to have a personal Mentor. (Note: Converge Fellows must choose a Mentor from their community and meet with the Mentor a few times during the pre-departure orientation and remotely during the program.)

  • Raise funds and/or make all payments on time and maintain responsibility for personal expenses.  Fees include transportation between the port of entry and the Program Leadership Partner location, accommodation, food, local transportation, and administration.  Fees do not include transportation between the Participant’s home and the outreach or Program Leadership Partner location, visas, personal travel, travel and health insurance, entertainment, personal hygiene items, laundry, wifi (unless otherwise indicated), etc.

Travel Safe:

  • Purchase travel insurance that includes emergency medical evacuation.  The Participant may be included in a group plan pre-purchased by the Host/Outreach Team Leader or choose to purchase and be auto-approved for the Faith Ventures Travel Protection plan. If another comparable policy is purchased, proof must be provided to the Host/Outreach Team Leader by uploading to the Participant’s profile before departure to the outreach or Program Leadership Partner location.

  • Give consent for treatment in the event of an emergency and release Youth With A Mission from any liability arising out of any injury, damage, or loss as stated in the following two paragraphs:

Be a Good Guest:

  • Participate in all required community meetings, including online meetings before departure and all the necessary gatherings at the Program Leadership Partner location.

  • Maintain a positive attitude and respect confidentiality.

  • Abide by the community guidelines set by the Host, including dress code, safety requirements, and responsibilities.

  • Listen, observe, volunteer, and make the best of constructive criticism.

Complete Your Mission:

  • Complete all program Field Assignments on time.

  • Take initiative to set up meetings with the Host or Team Leader for weekly one-on-one check-ins.

  • Set up meeting time, conduct personal interview debriefing, and complete an evaluation of the YWAM Outreach on one of the final days.

  • Affirm that the YWAM Outreach is not a part-time job, and no monetary compensation is to be provided and/or no employment offer after the fellowship or internship term is expected.
